This policy explains what personal information we collect when you use filmunitcar.com, enquire about or book production transport with us, or apply to drive for us, and how we look after it.
2. The Information We Collect
Clients, productions and enquirers. When you contact us, request a quote or make a booking, we may collect your name, the production or company you represent, your email address and telephone number, shoot dates and locations, call times, vehicle and movement requirements, billing and purchase order details, and any other information you choose to share with us about a job.
Passengers. To carry out a booking we may hold the names and contact details of cast, crew or other passengers, together with pick-up and drop-off locations and timings. Where you provide passenger details to us, you confirm you are entitled to share that information with us for this purpose.
Drivers and driver applicants. If you apply to drive for us or are engaged on our roster, we collect your name and contact details, driving licence details, private hire or other vocational licensing where relevant, insurance and vehicle information, right to work information, references, and the results of vetting checks. This includes criminal records information obtained through Disclosure and Barring Service (DBS) checks. Section 6 explains how we handle that information.
Website visitors. When you visit filmunitcar.com we collect limited technical information through cookies and similar technologies, including your IP address, device and browser type, and how you use the site. Section 11 covers cookies in full.
3. How We Collect Your Information
We collect information directly from you when you complete the enquiry form on our website, email or call us, or apply to drive for us. We also receive information from production companies and agencies when they book on behalf of passengers, and from vetting, licensing and insurance providers when we carry out driver checks. Our website automatically collects technical information through cookies.
4. How We Use Your Information And Our Lawful Bases
We use your information to:
- respond to enquiries and provide quotations;
- arrange, deliver and manage transport bookings, including positioning vehicles and briefing drivers;
- handle invoicing, payments and account administration;
- recruit, vet, engage and manage drivers;
- keep passengers and information secure and maintain the discretion our clients rely on;
- communicate with you about a job or your account;
- meet our legal, tax, licensing, insurance and regulatory obligations; and
- run, protect and improve our website.
Our lawful bases under the UK GDPR are:
- Contract: to take steps at your request before entering into a contract, and to perform our contract with you for transport services or driver engagement.
- Legitimate interests: to operate and promote our business, manage bookings and our roster, vet drivers for work that depends on safety and discretion, keep records, and secure our website. Where we rely on legitimate interests we balance those interests against your rights.
- Legal obligation: to comply with tax, accounting, licensing, employment and other legal requirements.
- Consent: for non-essential cookies and for any optional marketing. You can withdraw consent at any time.
5. Who We Share Your Information With
We do not sell your personal information. We share it only where necessary, with:
- vetted drivers employed or engaged by us to fulfil a booking, who receive only the details needed for the journey and work under confidentiality obligations;
- our accredited travel desk, a regulated travel partner, where you ask us to arrange flights or other travel as part of a booking;
- suppliers and subcontractors who support a booking, such as licensed coach, minibus or specialist vehicle operators;
- our service providers, including our website host, IT, payment and professional advisers, who act on our instructions;
- insurers, licensing bodies and vetting providers in connection with driver checks and cover; and
- public authorities, regulators or law enforcement where we are required or permitted by law to do so.
6. Criminal Records And DBS Information
Drivers are subject to Enhanced DBS checks, and we therefore process criminal records information. We treat this information as confidential and process it in accordance with the Data Protection Act 2018.
We hold an Appropriate Policy Document setting out how we comply with the data protection principles when processing this information, together with our retention and deletion arrangements; this is available on request. Access is restricted to those who need it to assess a driver's suitability, the information is held securely, and we keep a record that a check has been completed and remains current rather than retaining certificates for longer than necessary.
7. Sending Information Outside The UK
Some of our service providers, including our website host and Google, which provides our website analytics, are based outside the United Kingdom, so your information may be processed in countries that do not have the same data protection laws as the UK. Where this happens, we take steps to ensure your information is protected by an appropriate safeguard recognised under UK data protection law, such as an adequacy decision or standard contractual clauses.
8. How Long We Keep Your Information
We keep your information only for as long as we need it for the purposes set out in this policy. Booking, invoicing and tax records are kept for at least six years to meet our legal and accounting obligations. Enquiries that do not lead to a booking are kept for a shorter period and then deleted. Driver applicant information, for applicants we do not engage, is held for a limited period and then deleted, unless you ask us to keep your details on file. Criminal records information is kept only as long as necessary in line with our Appropriate Policy Document. Once we no longer need information, we securely delete or anonymise it.
9. Your Rights
Under UK data protection law you have the right to:
- ask for access to the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information in certain circumstances;
- ask us to restrict or object to how we use your information;
- ask us to transfer your information to another provider where this applies; and
- withdraw consent where we rely on it.
To exercise any of these rights, contact us at legal@filmunitcar.com. We will respond within one month, although we may extend this for complex requests. You will not usually have to pay a fee.
10. Complaints
If you have a concern about how we handle your information, please contact us first so we can try to put it right. You also have the right to complain to the UK supervisory authority for data protection.
